OVERVIEW

To manage end to end site administration activities including and limited to ensure maintenance of all site facilities; manage EARTH on site vehicle and transportation; deliver official letters/ correspondence; issuance/renewal of gate passes and deliver site administration performance report in weekly, monthly and annual basis.

Education and Qualifications

Education

  • Minimum technical diploma any discipline or equivalent
  • Professional certification in computer course

Experience

  • Minimum 5 years of site administration or administrative management experience in public/private sector organizations

Key Accountabilities

  • Develop and implement a site management program at assigned locations including preventative maintenance and life-cycle requirements
  • In coordination with Contract & Procurement Department identify facility management service providers, conduct cost benefit analysis and present to Head of Aircraft Maintenance for approval
  • Manage scheduled, preventive and unscheduled maintenance of site central facilities including reception, security, cleaning, catering, waste disposal and parking
  • Supervise multi-disciplinary teams of outsourced staff including cleaning, maintenance, grounds and security
  • Manage facility maintenance service contracts and providers for facility management services
  • Allocate and manage space within office and accommodation for maximum efficiency
  • Supervise building projects renovations or refurbishments
  • Manage official letters/correspondences related to site administration
  • Perform issuance and renewal of all security gate passes, as required
  • Ensure proper upkeep, control of usage and maintenance of all EARTH vehicles at the site; manage transportation activities and assign duties to all drivers
  • Receive enquiries/ queries related to site administration from Head of Aircraft Maintenance and/or customer and co-ordinate with the concerned parties for necessary clarifications and actions 
  • Ensure compliance with health and safety standards and industry codes
  • Ensure maintenance and repair of facilities and equipment
  • Conduct investigation of accidents, injuries, or occupational diseases to determine causes and preventive measures and report findings
  • Coordinate worker training (in coordination with HSE Consultants/ Trainers) in areas such as safety laws and regulations, hazardous condition monitoring, and use of safety equipment
  • Deliver performance report on weekly and monthly basis
  • Deliver site administration performance status report on annual basis
  • Perform any other task related to site administration activities, as directed by Head of Aircraft Maintenance
